POSITION CLASSIFICATION: Administrative Specialist

PERMANENT ASSIGNMENT: Deputy Chief of Staff, Administration

BUREAU SERVED: Public Interest Division


SALARY RANGE: $49,000 - $75,000

Summary of Duties and Responsibilities:

The Administrative Specialist performs complex administrative and clerical assignments with a high degree of independence, requiring extensive experience, skill and knowledge. Duties include but are not limited to: conducting research, gathering, compiling and updating data and records from a variety of sources for the preparation of statistical reports and spreadsheets, preparing correspondence, forms, manuals and reports using word processing and spreadsheet tools, handling a variety of information requests, and maintaining the Bureauís database. Under the direction of the Bureau and/or Division Chief, the Administrative Specialist will work as part of a team or take the lead in planning and implementing specialized administrative activities to address specific programs and initiatives in their assigned Bureau and/or Division, and also serve as the Bureauís support staff liaison to the Information Technology Bureau.

With input from the Support Staff Coordinator, the Administrative Specialist will help coordinate the orientation of new support staff, and work to identify and organize training opportunities for existing support staff in their assigned bureau.

Education, Experience and Abilities:

This position requires at least an Associate Degree in business, legal studies or related field and five (5) years of administrative support experience, or an equivalent combination of training, education and experience. An advanced level proficiency in the use of Microsoft Office products including the ability to produce documents and presentations using word processing, spreadsheet and presentation software tools is required. Excellent verbal and written skills are required. Exemplary time management skills, the ability to multitask and prioritize special projects while balancing a daily workload is essential. Attendance is an essential function of this position. The ability to maintain satisfactory working relationships with other employees and the general public is required.

Internal candidates with a thorough understanding of their Bureauís activities and a working knowledge of the Bureauís internal procedures, along with expertise using Team Connect and/or CLMS are preferred.

Hours of Work: 9:00 a.m. Ė 5:00 p.m. (Monday-Friday)
